PRESS OFFICE INFORMATION

The Press Office provides the following service with relation to any Public Lecture/Inaugural Lecture/Seminar/Event held by University departments.

CWIS

The Press Office will place details of all items submitted in good time on the Campus Wide Information System and will maintain and update information on a regular basis. These events should be of public/general staff interest.

It is in your interest to give maximum notice of any event you wish to have included - some departments inform the Press Office of all their events/lectures etc at the beginning of each term. You should, at the very least, submit information two weeks before the event. Changes to any event should be notified to Helen Richardson hr15@le.ac.uk

DATES FOR YOUR DIARY BULLETIN

The Deputy Editor of the Bulletin will, at her discretion and in consultation with the Editor, select items from the CWIS list for inclusion in the Bulletin 'Dates for your Diary' section. Events are also highlighted on the eBulletin www.le.ac.uk/press/ebulletin

PUBLIC LECTURES

A monthly list of all Public Lectures of which we are notified will be prepared by the Press Office and distributed internally and to a selected external database.

The Press Office is not in a position to produce an individual poster for any event - this should be prepared by the Department in liaison with the Graphics Studio (Ext 2915). Once your poster is prepared, the Press Office can include it in its regular monthly mailing to internal and external addresses.

Please ensure that you liase with Helen Richardson in order that your posters are prepared in time for the appropriate mailing. It will not be possible to send out a separate mailing for your individual poster.

Public lecture/event posters are available in A4 and A3 sizes from Reprographics (Morag Clarke Ext 2442). Departments are encouraged to use these posters for publicising their events.

INAUGURAL LECTURES

Posters for Inaugural Lectures are prepared by the Vice-Chancellor's office and all details should be sent for the attention of Sally Hurman, Vice-Chancellor's office.

ADVERTISING

The Press Office does not hold a budget for advertising. However, Departments may wish to place an advert in the local media concerning an event/lecture. This may be done by the department dealing directly with the media or contact the Marketing Office on 0116 252 5386.

PRESS COVERAGE

The Press Office sends, on a regular basis, a complete list of the events/lectures included on CWIS to a selected database and to listings editors. This includes Radio Leicester, the Leicester Mercury, Leicester Link, and a number of national publications.

Certain events/lectures may be suitable for extra press coverage in the form of a press release. Please inform Ather Mirza, (Ext 3335) if there is a special reason for your event/lecture to warrant extra press coverage, eg an interesting, unusual or very topical lecture, unusual subject matter, celebrity speaker, etc.

In these circumstances please provide as much information about the event/lecture as possible in order to maximise media coverage.

Please note that Press Office services only are provided free of charge. The first point of contact for events/lectures/seminars etc is the office Helen Richardson (Ext 2415, Fax 2485, email hr15@le.ac.uk).

PHOTOGRAPHS

Departments may book photographs of visiting speakers by ringing AVS Photography on ext 2913

CHANGES TO LECTURES/EVENTS

You must inform Helen Richardson in writing or via email of any change (eg cancellation, postponement) of an event. Please do not simply send another poster for the event unless you clearly mark it as a change from the original and cite the original date. Helen will undertake to change listings as far as practical and where deadlines allow for changes to be made.
