Checklist for
draft Press Releases
The following list has been prepared to enable the preparation of Press Releases that are appropriate for distribution to the media.
It is advisable that this checklist is used, as it is the responsibility of the subject of the release to ensure that the text of a Press Release is accurate and approved for distribution to the media.
Make any factual corrections to the Press Release that you feel are necessary.
IMPORTANT NOTE TO
DEPARTMENTS/UNITS/SECTIONS:
When checking press releases
please note that it is your responsibility to ensure:
- You consent to the release (including contact numbers) and any associated images being issued to the media and being used for publicity/promotional purposes by the University - including web based PR.
- All information is accurate.
- The press release does not break any confidentiality agreements.
- Research partners, funders etc are happy with the press release to go out.
- That your head of department/unit/section is aware of the release and that anyone responsible for Press in a related organisation
(eg if you are based at a hospital) is aware that the University of
Leicester's Press and Publications Office is handling the release and is sent a copy of the final draft when you have approved it.
- Funding and sponsorship are mentioned as appropriate.
- Contacts are available to talk to the press at the time the press release is sent out.
- Are you aware of any political sensitivities/controversies that may arise from the issuing of this release?
- Please discuss with press officer when the release should be sent
(ie you need to be available to take media calls) - please note releases are sent via email, post and web services.
- If you have any specialist media; contact journalists
etc - please send details to the Press office (email of journalists or addresses). Alternatively, you may request a number of releases for mailing yourself.
- The return of the release with your amendments will indicate that you have considered, addressed and agreed to the above.
Once you have checked the press release and satisfied yourself that the points raised above have been addressed, please return the
press release to the Press and Publications Office (email pressoffice@le.ac.uk) as soon as possible.
The finalised Press Release will be emailed, posted on websites and mailed to the media and a copy circulated within the University administration, as well as a copy to you. Please note that it may also be used for the Bulletin,
eBulletin, Annual Report and other magazines produced in the Press and Publications Office.
